A lot of people think mailing solutions like franking or PPI are just used by larger organisations with dedicated postage rooms, but we find tonnes of start-ups are spending far more time and money on posting their products and running mailshots than they need to be. If you’re sending products, marketing campaigns or other direct mail to customers, our team can work with you to find a mailing solution that saves you time and money, while giving your post a professional look that boosts customer trust in your brand. We can also make sure you’ve got the flexibility to upgrade or change your systems as your operations and business needs change.
Below is a list of just some of the franking machines and folder inserters that we have recommended to our start-up business customers. Read our best franking machines for small business guide for more information.
For SMEs, you might find you need separate postage accounts for different business departments. We can set you up with the technology to help your different teams process postage efficiently and cost-effectively while giving you full transparency and departmental breakdowns of spend across your business.
If you’re producing high volumes of letters, flyers or mailshots, you might also want to consider folder inserters. These automate the folding, inserting and sealing of your mail and can save your admin team loads of time.
With growing databases of customers and subscribers, we can also help you improve your data-cleansing processes; all undelivered mail can be returned to you free of charge as a registered Royal Mail business user, which helps you keep your CRM details accurate and up-to-date.
For larger organisations, scalability and automation are going to be top of the list. You’re going to want tech and software that offers a speedy, high-volume and reliable service which reduces costs and saves your administrative team valuable time. And, for a business your size, it’s not just about outgoing mail either. With multiple departments and a major staff base, keeping track of incoming mail can be just as much of a headache as getting mail sent out. Our team can talk you through both outgoing and incoming mail tracking software which can be used across departments, including POD (proof of delivery) systems that help you track mail and packages within your organisation from your mailroom to the end recipient.
In the long term, franking machines work out to be hugely cheaper than stamps no matter what class is sent. For example, a stamp for a First Class letter is £0.85 but a First Class letter using a franking machine will cost you £0.72. While this doesn’t seem like a huge difference, if your business were to send 1000 letters using stamps, it would cost you £6,400 compared to a franking machine which would cost £5,100 to send the same amount – saving your company £1,300 to be better invested elsewhere!
Not only are franking machines much more cost-effective, but it also means that hours of your employee’s valuable time will be freed up. For the best franking machines and mailing solutions, get in touch with our team who will set you up with a tailored mailing service.
Yes, you can put franked mail in a normal post box, however, there are certain rules and conditions you’ll need to follow in order to avoid delays and extra charges. If you are posting 30 regular letters or less, then you can use a normal post box as long as you are using metered posting or low-volume posting envelopes which should be supplied by your machine provider.

Your franked mail will take the standard amount of time it takes regular mail depending on which class you’ve sent it. In the UK, First Class mail will arrive the next working day excluding Sundays and Bank Holidays. Second Class mail will normally be delivered within 3 working days. You can also send franked mail by the SignedFor service and Special Delivery if you require the reassurance and guarantee of your mail arriving by a certain time.
For international mail, you have the option to choose International Standard delivery which aims to deliver your mail worldwide within 6-7 working days. You can also choose International Tracked, International Signed or International Tracked and Signed for extra added peace of mind. But, you must remember to include Airmail stickers on the top left corner of your envelope for these types of deliveries.
